
1. Organizer's
1.1) Organizer's of the exhibition is the responsibility of the organizing
committee, as approved by the Ministry of Economy and Commerce of the State
of Qatar.
2. Exhibitors
2.1) Manufacturers, Exporters, Suppliers, Dealers, Service Providers, etc.,
of equipments, materials and services related to the exhibition.
2.2) Upon receipt, applications will be examined to determine whether they
satisfy the conditions for application, in respect where of, the organizer's
shall be entitled to request all such proof as should be deemed necessary.
The organizer's reserves the right to accept or reject applications.
2.3) Exhibitors may not exhibit merchandise other than that which has been
listed in the exhibition brochure and so included in the exhibitor's
document sent to the exhibitors following stand allocation.
2.4) Exhibitors are obliged to have their stands open and staffed by
competent on all exhibition days from 09:00 am to 06:30 pm, in order to
attend the visitors.
3. Space Application
3.1) Space reservations must be made by using the space application form
supplied by the organizer's for this effect, which should be completed in
full and returned to the organizer's office by registered mail or personal
delivery.
3.2) Standard Booth (Shell Scheme) a standard booth shall be aluminium
prefabricated at the cost of the organizer. The exhibitors at standard
booth shall be booth partitioning, basic illuminations (spot lights),
information desk and chair, floor carpet, company name fascia.
3.3) For Shell Scheme, the name, company name, or trademark to be displayed
on the stand should be written clearly in capital letters on the space
of application form. No other means of identification are allowed. Any name
modifications requested by the exhibitor and authorized by
the orgaizser's will be at the exhibitor's expenses.
3.4) Each space application form must be accompanied in all cases by 30%
payment of the stand space being reserved or proof of 30% payment transfer.
3.5) Payment may be made only by the following methods - Demand Drafts or
Bank Transfer.
3.6) The organizer's is the sole party to decide on matters pertaining to
exhibitor admittance. Such decisions are med unilaterally with applicants
having no recourse to appeal.
3.7) Once stand allocations has been decided, the exhibition shall notify
the exhibitors of stand of floor space location and remit the exhibitor's
document including an invoice for the remaining stand fees which must be
paid by the exhibitor without delay, in order that the stand can be
occupied.
3.8) Should participants renounce the right to occupy the space they have
requested after definitive registration, they will be liable to pay the
organizer the full rental fee, with the applicants having no recourse to
appeal.
3.9) Should stands or spaces considered to be preferential sites be left
open after allocation owing to withdrawal or inability to attend, the
management of the exhibition shall proceed to allocate such spaces in
accordance with the criteria mentioned.
3.10) The organizer's reserves the right to terminate the contract with no
prior notice should the exhibitor infringe or be known to have infringed any
regulations as set forth in the conditions for participation or any other
dispositions employed for this exhibition in particular. Termination of
the contract shall imply the total forfeiture of all amounts already paid.
The organizer's shall also have the right to terminate the contract
immediately and close the exhibitor's stand if exhibited products do not
generally correspond to the appropriate section, with the subsequent
loss of all amounts paid by the exhibitor.
3.11) Partial or total transfer of exhibition space or exhibitors rights are
strictly prohibited
3.12) No merchandise exit authorization from the trade exhibition hall shall
be granted by the management until exhibitors have paid all exhibitions fees
in full.
3.13) Breach of contract and withdrawal by the Exhibitor, without prejudice
to the rights and remedies of the Organizer in respect of any breach of
the Contract on the part of the Exhibitor the Organizer may at its.
Discretion allow the Exhibitor to withdraw from the Exhibition subject to
the following conditions:
3.14) The Exhibitor must give written notice to the Organizer that he
desires to withdraw and if the
Organizer's in allows such a withdrawal it will notify the Exhibitor of its
decision in writing:
3.15) Any such notification by the Organizer to the Exhibitor will
constitute a cancellation of the contract
subject to the payment by the Exhibitor to the organizer of a consideration
for release from theContract:
3.16) The amount of such payment will be as follows:
1. Cancellation within 30 days of signing space contract : 80% refund from
the total space cost.
2. Cancellation within 60 days of signing space contract : 60% refund from
the total space cost.
3. Cancellation within 90 days of signing space contract : 30% refund from
the total space cost.
4. No refund will be made in respect of any cancellation received by the
Organizer after 90 days.
3.17) Upon payment of such amount to the Organizer by the Exhibitor (Credit
being given by the Organizer for all rental already paid by the Exhibitor)
the contract shall be cancelled and neither party shall have any further
claim against the other.
4. Distribution and allocation of stands
4.1) The management of the exhibition is the sole responsible party for
distributing stands and space requested by the applicants.
5. Stand installation, Assembly and Removal
5.1) The organizer's of their respective products will be the responsibility
of the exhibitors. Whoever wishes a special stand decoration, as long as
these are within the standards established by the organizer's, are obliged
to present a signed sketch of the decorator's projects which will be
returned to the exhibitor with the approval of the organizer's and the
technical department, and without which no authorization
will be given to commence stand assembly.
5.2) It is strictly prohibited to hall or perforates in any way the lateral
or back walls or partitions of shell scheme stands. The organizer's provides
exhibitors with shell scheme stand partitions, which are fully intact.
5.3) In case areas where stands are supplied with ceiling, no variations of
any kind may be performed.
5.4) No decorations or assembly operations can be authorized which exceed
the outer limits of stand fronts. Exhibitors using shell scheme stands
are obliged to respect the limits indicated by the metal profiles of the
outside the limits of their stands, particularly aisles, without previous
authorization from the organizer's.
5.5) During stand installation or assembly, all instructions set forth in
this section and any other rules or regulations concerning stand assembly or
removal issued at any time by the organizer's must be observed in full.
5.6) Stand assembly and decoration and the placement of merchandise on stands
must be fully completed one day before the opening of the event.
5.7) During the event, it is strictly forbidden to modify or remove
installations or exhibited merchandise. Such activities should be completed an
hour prior to the beginning of the exhibition.
5.8) In case where exhibitor's do not comply with instructions concerning the
removal of merchandise or accessories from their stands, or the removal
of installations assembled at their request in a period of three days from the
date of closure, the organizer's shall proceed to remove any such
goods or installations and leave them in deposit for the exhibitor in question,
who will incur all costs deriving there from. In such cases, the
organizer's shall not be held responsible for losses, damages or destruction by
fire in respect of such goods or materials.
6. Safety and Security
6.1) It is strictly prohibited to exhibit products that may conceivably be of
danger to visitors, trade personnel or exhibitors.
6.2) The organizer's reserves the right to inspect the exhibitor's installations
at any time, in the presence of its staff or authorized personal and shall
furthermore have the right to make all such. recommendations as deemed necessary
for compliance with regulations, which must be acted
upon immediately and with no recourse or possible appeals.
6.3) The organizer's shall be entitled at any moment to require that exhibitors
send any of their personnel of the premises in the case of their conduct
being considered inappropriate or unbecoming.
6.4) The organizer shall not be responsible for the loss or damage to any
property, exhibitor or any other person caused by theft, fire defect in the
Qatar International Exhibition Center ("The Hall") storm, lightning, national
emergency, civil unrest, war, labor disputes, lockouts, explosives,
acts of God and general cases of force majeure whether or not ejusdem generic
with the foregoing or any cause not within the organizer's
control of for any loss or damage sustained in the event that the opening or
holding of the Exhibition is prevented, postponed or abandoned or if
the Hall becomes totally or partially unavailable for the holding of the
Exhibition due to any of the foregoing causes. The exhibitor shall
indemnify and hold the organizer safe and harmless from all loss and damage to
person or property and all claims arising out of the exhibitor's
stand fitting and for the exhibitor's portion of the shell scheme and for any
loss or damage to the basic shell scheme stand. The exhibitor is
advised to take insurance cover for the purpose of indemnifying the organizer as
aforesaid and also to cover itself against all risks in respect of
which the organizer is expressed not to be responsible in these conditions
6.5) In no event shall the exhibitor have any claim or damages of any kind
against the organizer in respect of damage consequent upon the
prevention or postponement or abandonment of the exhibition by reason of
happening of any of the events referred to condition 6.4 or
otherwise or of the Hall becoming wholly or partially unavailable for the
holding of the exhibition for any reason beyond the organizer's
control and the organizer shall be entitled to retain all sums paid by the
exhibitor or such part there of as the organizer necessary. If in the
opinion of the organizer by the re-arrangement or postponement of the period of
the exhibition or by substitution of another hall or building or
any other reasonable manner, the organizer's can be carried out these conditions
shall be binding upon the parties except as to size and position
as to which any modification or re-arrangement shall be determined by the
organizer.
6.6) The exhibitor shall hold the organizer safe and harmless from all lose or
damage suffered by or arising out of any act or default of any servant,
agent, employee, or subcontractor of the exhibitor.
6.7) The organizer's reserves the right to alter, add or amend any of these
conditions and the decision of the organizer shall be final.
7. Advertising and Catalogue
7.1) Advertising of all types carried out within the trade exhibition halls
refer only and exclusively to the merchandise on exhibit or appearing in the
trade catalogues of the exhibitor. Such advertising shall only be carried out
within the walls or each stand and shall furthermore comply with
generally accepted advertising practices, avoiding all procedure that may be
conceived to imply unfair competition.
7.2) Advertising carried out on stands using loudspeakers; videos, film or
slides must be authorized by the organizer's and will only be allowed
provided such methods cause no disturbances or annoyances to other exhibitors or
to the general activities of the exhibition.
8. Services and Facilities
8.1) Cleaning of exhibition hall, including stand/space, before, during and
after the closing hours.
8.2) Round the clock security.
8.3) Reception at the airport (24 hours notice).
8.4) Storage facility shall be provided at no extra charges, subject to space
availability. Transportation of the goods shall be at the expense of the
exhibitor.
8.5) Electricity shall be provided free of charge. However, any electric
extension, fittings shall be at the expense of the exhibitor.
8.6) Telephone services including installation of international lines can be
arranged by the organizer at the exhibitor's cost.
9.The following services will be available at the Qatar International Exhibition
Center:
9.1) Airline Offices, Information Center, Banking Facilities, Business Center,
Car Rental Services, Restaurants
9.2) Other Services and Facilities:
A package of various services including pre-decoration, hostesses, insurance,
packing, etc.., shall be provided by specialized companies.
Details shall be sent later with the service application form (exhibitor
document) after payment of the initials 30% of the total value of the area
applied for.
10. Obligations
10.1) Exhibitors at the Qatar International Exhibition Center or companies
intending to exhibit at the exhibition who have had floor space allocated to
them shall be considered too have accepted, expressly or tacitly, all the
general and/or specific regulations stipulated under the condition for
participation and hereby agree to comply with all such regulations without
exception.
